Job Opening – Administrative Assistant – Islamic Art (07/2011)

This 3-day-a-week assistant will be in charge of filing and organizing of the department’s back files and archives. Additionally, the Assistant will help the Associate for Administration with paperwork associated with the Visiting Committee and Friends of Islamic Art. The Assistant will help keep the departmental library in order and will work with two volunteers who are compiling a photographic archive of the new gallery project from 2003-2011. The Assistant will cover for the Assistant for Administration at the front desk when she is absent and will help outside visitors using the library.

Primary Responsibilities and Duties:
• Filing and organization of departmental archives
• Assist the Associate for Administration with correspondence and communication with Visiting Committee and Friends of Islamic Art
• Shelf-checking and shelving of books in departmental library
• Oversight of volunteers
• Back-up for Assistant for Administration
• Assisting outside visitors with library and TMS requests
• Scanning, when necessary
• Other related duties

Requirements and Qualifications:
Experience and Skills:
• Knowledge of Microsoft Word, Excel, Photoshop
• Experience organizing office files
• Familiarity with library shelving systems
• 5 years working in an office
• Excellent organizational skills
• Excellent communication skills

Knowledge and Education:
• BA degree required
• Knowledge of art history and/or the Middle East, North Africa, Central or South Asia desirable
